Position Summary Kellogg Community College (KCC) is seeking a dynamic and detail-oriented leader to serve as the College Registrar. Located in Battle Creek, Michigan, KCC is a comprehensive, student-centered institution committed to providing accessible, high-quality education to a diverse community of learners. In addition to the main campus in Battle Creek, KCC serves students through regional centers in Coldwater, Hastings, and Albion and an industrial trades center in the Fort Custer area of Battle Creek.
The Registrar oversees the Records/Registration department, which includes two other administrators and four support staff. Together, this team ensures the integrity, accuracy, and security of all academic records while driving innovative strategies for student registration, records management, and reporting. The Registrar ensures compliance with federal, state, and institutional regulations, including FERPA, and manages processes related to registration, grading, transcripts, transfer credits, and graduation.
As a key member of the Student Affairs leadership team, the Registrar works collaboratively across departments to streamline operations and improve services that enhance student retention and completion. This role also plays a pivotal part in optimizing the student information system (SIS), providing data-driven insights, and promoting an efficient, student-centered experience.

Kellogg Community College is located in Battle Creek, Michigan, a community of approximately 54,000 people. Located along the I-94 interstate, Battle Creek is within 30 minutes of Kalamazoo, 60 minutes of Lansing and Grand Rapids and within three hours of Detroit, Chicago and Indianapolis.

Physical Demands The job responsibilities are performed in an office area and presentation venues. Travel by car required. The job has intermittent periods during which continuous physical exertion is required, such as independent mobility between work areas, standing, sitting, stooping, bending, climbing, lifting material or equipment, some of which may be heavy or awkward (8 - 45 pounds). Typically requires regular use of one or more physical senses of medium intensity and long duration. Must meet reasonable deadlines, quotas or demands for accuracy, and may be involved in some mildly unpleasant situations.
Minimum Qualifications
- Master's degree (M.A., M.Ed., M.S.) or equivalent, obtained from an accredited college or university.
- At least three (3) years of progressive administrative responsibility with supervision experience.
- An understanding of student information systems.
- An ability to analyze data in a meaningful way.
- Skilled with learning new technology and configuring systems appropriately.
- Ability to handle multiple tasks and priorities.
- Excellent interpersonal skills.
Preferred but not Required
- Experience working in a Registrar's office.
- Leadership experience at a community college.
- Experience with Colleague or other Ellucian products.
- An understanding of compliance and other critical regulations impacting a Registrar's office.
Proposed Salary According to the Kellogg Community College Hay Administrative Compensation program, the 2024-2025 annual salary range for a Chair/Director position, $78,854 to $98,568 to start.

Job Duties
Essential Function: Leadership
Description:
- Provide supervision, evaluation, mentoring, coaching, and professional development for staff in the department.
- Advance a student-centered environment with a focus on exemplary customer service and continuous improvement through creative and innovative solutions.
- Regularly assess student feedback to improve services.
- Work collaboratively to achieve departmental, divisional, and institutional initiatives, nurturing positive relationships across the College.
- Develop and update documentation for operating procedure manuals for all departmental processing, including oversight of a departmental communications plan to ensure all records and registration staff are current and updated on regulations, policies, practices, and significant developments.
- Oversee the College's registration processes with multiple semester registration cycles to ensure smooth operations and compliance.
- Collaborate on the development of short and long-range strategic enrollment management plans for the College, serving on planning and/or leading advisory committees as appropriate.
- Be an active participant in the College governance process, including membership in standing committees, ad hoc committees, and/or cross-functional teams as assigned.
- Lead the planning and execution of the College's annual commencement ceremony, ensuring a seamless and memorable experience for graduates, faculty, staff, and guests.
Essential Function: Student Records
Description:
- Administer student record services including but not limited to registration, schedule changes, student rosters, grade reporting, enrollment verification, certification of student records, transcripts, transfer credit evaluations, degree audits - academic credit and non-credit transcript requests, enrollment verifications, credit by examination, degree and certificate eligibility, and subpoenas and records retention.
- Manage implementation of the College's document retention plan.
- Provide oversight of the reverse transfer processes and procedures.
- Serve as the College's spokesperson for reporting on official student records and as its contact person with outside governmental and private agencies concerning official college student records.
Essential Function: Data and Technology
Description:
- Lead efforts to evaluate and implement emerging technologies to improve student registration and records management processes.
- Conduct appropriate research, gather, and interpret data and prepare analytical reports both unique to the department/division and in collaboration with stakeholders to advance institutional initiatives.
- Develop and manage reports using various software systems.
- Oversee internal and external reporting of enrollment data, ensuring accuracy, compliance, and timely submission of reports.
- Understand the use and capabilities of Ellucian Colleague, particularly the registration module, and other related platforms to implement improvements that enhance office productivity and management.
- Maintain the College's official course taxonomy.
- Collaborate effectively with the College's information technology team to increase use and efficiency of technology that support registration functions.
Essential Function: Compliance, Regulations, and Reporting
Description:
- Act as the College's Family Educational Rights and Privacy Act (FERPA) Compliance Officer.
- Provide oversight and leads the National Student Clearinghouse processes and procedures at the College.
- Serve as the lead for National Student Clearinghouse reporting and other external services uploads, permissions, database maintenance, and reporting; backup Michigan transfer reporting in the absence of the Associate Registrar (or designee).
- Assure compliance with all appropriate federal, state, and local laws, as well as with college policies and procedures, and related regulations.
- Participate in institutional audits.
- Direct development and preparation of divisional reporting for federal, state and college purposes.
Essential Function: Instructional Collaboration
Description:
- Communicate and work cooperatively with instructional leadership and faculty to develop and monitor critical institutional policies and procedures.
- Assist faculty to ensure the accuracy and security of student grades and records, provide in-service training when helpful, and simplify procedures when appropriate to provide exemplary customer service.
- Develop registration, schedule building, and other pertinent calendars in collaboration with instructional leadership.
