Summary

The Division of Vascular Surgery and Endovascular Therapy within the Michael E. DeBakey Department of Surgery at Baylor College of Medicine (BCM) is seeking a Business Operations Associate to assist with the division’s operational and financial needs in a team-based clinical office setting. This position will provide the division with high-quality administrative support of financial and business processes. The role will also manage and support projects and programs, marketing efforts, and analyze referring physician patterns for increased outreach opportunities for the division and will liaise with departments across BCM and serve as a point of contact regarding business and project inquiries. The ideal candidate will be upbeat and organized, proactively communicate any challenges or delays, and assist other team members as needed. Candidate should be knowledgeable with Microsoft Office applications, project management, and have experience with EMR systems.

Job Duties

• Serves as primary point of contact in the division for the division chief. • Perform the daily operations within the division or unit, primarily in the areas of human resources, compliance, and financial management. • Builds and manages the program project for the Center for Aortic Surgery, including but not limited to building a database of patients for tracking, managing the rubric for surgeon designations and call schedules, acquiring appropriate software and managing operational integration, and leading effort of various proposals related to establishment of the Center. • Establishes staffing plans, schedules, and productivity guidelines according to budget availability and department /unit needs. • Ensures the ongoing review and development of process improvements to maximize business productivity. • Maintains faculty personnel files, records, credentials, and licensing; Assists with credentialing and onboarding vascular surgery faculty and staff in support of the division chief. • Develops, manages, and controls budgets and a variety of financial data. Establishes financial and operational systems to monitor, control, and verifies expenditures, and carry out financial analyses using SAP, BRAIN, or other software. • Assists in managing and coordinating all division outreach efforts to grow the division and Center for Aortic Surgery such as performing in-network and out-of-net-work outreach tasks to increase division referrals, assist with business development, network integrity, referral capture and marketing initiatives. • Assists Division Administrator with financial management primarily in tracking, monitoring, and completing pending missing clinical charges, processing invoices, purchase orders, and creating estimates with international patients. • Maintains calendar and team scheduling for division chief, director of Center for Aortic Surgery. • Functions as a resource for clinical staff for positive patient experience by assisting with patient concerns or potential patient roadblocks. • May assist with or manage special projects. • Performs other job-related duties as assigned.

Minimum Qualifications

  • Bachelor's degree. 
  • Two years of relevant experience.

Preferred Qualifications

  • Experience working and supporting high level executives.
  • Superior attention to details and organization skills.
  • Proficiency in Microsoft Office Suite, specifically Excel.
  • Epic EMR experience.
  • Prior experience using Concur.
