Job Title: Customer Service Front Desk Coordinator

Location:  Dayton

Schedule:  Monday-Friday, 8:30 AM - 5:00 PM (hours may vary for events)

Position Overview:

We are seeking a dedicated and highly organized Customer Service & Event Coordinator to join our team. In this role, you will be responsible for providing exceptional customer service, coordinating events, managing social media accounts, handling weekly newsletters, and scheduling board meetings. Additionally, you will utilize QuickBooks, Excel, and Outlook for a variety of administrative and financial tasks. This is a dynamic position that requires excellent communication, planning, and multitasking skills to ensure smooth operations across all functions.

Key Responsibilities:

  1. Customer Service:
    • Serve as the main point of contact for customer inquiries via phone, email, and in-person.
    • Resolve customer issues and concerns with professionalism and efficiency.
    • Maintain positive relationships with clients and stakeholders.
  2. Event Coordination:
    • Plan and organize events, meetings, and activities, ensuring all logistical details are handled.
    • Work with vendors, venues, and clients to ensure event success.
    • Handle event-related communication, such as invitations and confirmations.
  3. Newsletters & Communications:
    • Draft, design, and distribute weekly newsletters to clients and stakeholders.
    • Ensure content is relevant, engaging, and aligned with company goals.
    • Proofread and edit materials before distribution.
  4. Social Media Management:
    • Manage and update company social media accounts to maintain a consistent online presence.
    • Create and schedule posts, track engagement, and respond to messages/comments.
    • Develop creative strategies for increasing follower engagement and promoting events.
  5. Scheduling & Administrative Support:
    • Schedule and coordinate board meetings, including sending invitations, preparing agendas, and taking meeting minutes.
    • Assist in office administration tasks such as filing, organizing, and maintaining office supplies.
  6. Financial Administration:
    • Utilize QuickBooks to manage billing, invoices, and track expenses.
    • Use Excel to maintain records, budgets, and create reports.
    • Assist with financial reporting and other administrative duties as required.

Qualifications:

  • Proficient in Microsoft Office Suite, including Excel, Outlook, and Word.
  • Proficient in QuickBooks for financial tracking and invoicing.
  • Strong organizational skills with the ability to multitask and prioritize effectively.
  • Exceptional communication skills (both written and verbal).
  • Previous experience in customer service, event coordination, or administrative support is preferred.
  • Ability to work independently and as part of a team.
  • Flexibility in work hours, with the ability to adjust for events or other duties as required.
  • Experience with social media platforms and content creation is a plus.
