Outreach Manager Hybrid Telework Location: AF PKI System Program Office, San Antonio, TX
Summary
Manages the AF PKI SPO Outreach Program, which consists of event-based marketing and designing, developing, and publishing strategic communications that support organizational goals. The chosen applicant will provide oversight and strategic guidance to manage all Outreach activities in support of the Connect User Experience (CUX) Team. Primarily, the Outreach Manager coordinates services with various contract vendors of select event locations globally and provides management and leadership to exhibit teams assigned to all AF PKI SPO exhibit events. The ideal candidate will excel in communications both written and oral; must be detailoriented, organized, a self-starter, and have an ability to prioritize workload; have an outgoing demeanor to train, motivate, and equip outreach support teams with necessary resources to succeed; will have experience in coordinating required logistics for exhibit events, to include securing contracts, outfitting exhibit spaces, facilitating financial transactions, coordinating travel arrangements, and transporting exhibit equipment and materials to/from events to produce results in a timely manner.
Primary Responsibilities
Plan and manage the AF PKI Outreach program:
- Coordinate contracts for exhibit space at technical conferences/expos attended by key
customers and stakeholders; order furnishings and associated services that support the exhibit; manage pre- and post-event activities (e.g., publicity/announcements, training for exhibit staff, logistics, accommodations, invoicing and payments, trip reports, evaluation, follow-up)
- Plan, execute, manage the Outreach budget; create and manage Outreach-related tasks
in ServiceNow; maintain the Outreach repository page in MS Teams
- Educate, train, and orient the exhibit team for high-level performance and customer engagement; maintain related training materials
- Manage and maintain exhibit equipment; facilitate procurement of new exhibit
equipment, to include designing branded displays; ready equipment and marketing materials for transport to/from exhibit events
- Maintain promotional item inventory, to include presenting potential new items to
leadership for purchase approval, request sample items as needed, process all required orders and restock items as needed
- Manage/maintain the AF PKI brand, to include logos, brand messaging, and a suite of branded templates
- Manage/maintain the Outreach Document and Product libraries in SharePoint; create, publish, and maintain marketing materials (e.g., informational pamphlets, fact sheets, brochures, quick reference guides) and briefings distributed/displayed at exhibit events and on the AF PKI Website
- Develop communication strategies to deliver key messages (e.g., announcements, public releases, broadcast email) in various formats, including social media posts; draft/publish a PKI newsletter (monitor and manage DAF newsletter subscription)
- Develop and execute a social media strategy; manage AF PKI’s social media presence across various platforms; develop, schedule and publish engaging content; monitor audience interactions engage with followers/respond to comments; analyze trend data and identify areas for improvement; and manage strategic messaging and campaigns to achieve communication goals
Knowledge and Skill Requirements
- Strong communication and interpersonal skills to collaborate/coordinate AF PKI exhibit events and event attendees with various organization
- Ability to work with a wide variety of contributors in a fast-paced and demanding environment is essential
- Proficient knowledge of Microsoft Office Professional Suite (Word, PowerPoint, Excel,
- Outlook, Access, Publisher, Visio, SharePoint, Project), Adobe applications (Captivate,Photoshop, InDesign)
- Knowledge of Artificial Intelligence applications and how they can support Outreach duties and tasks effectively
- Expertise with social media platforms, crafting engaging social media posts, and interpreting social media analytics to inform strategy
Education/Experience
- Bachelor’s Degree Required in Communications, Marketing or relevant work experience
- 5 +Experience in managing an outreach program to include; coordinating organizational
presence at select exhibit events globally
Required licenses or certifications
- Certified Meeting Professional (CMP) or Certified Special Events Professional (CSEP)

- Project Management Professional (PMP) certification or other project management
certification desired but not required
Language Skills
- Ability to read, analyze, and interpret technical procedures and governmental regulations
- Ability to write reports
- Ability to effectively present information and respond to questions from managers, clients, and customers
