HEI Civil Texas is seeking a receptionist/administrative assistant that provides support to the business and all its departments. 

Responsibilities:

  • Greet and welcome all guests that arrive to the office
  • Direct visitors to the appropriate person and office/conference room
  • Answer, screen and forward incoming phone calls to appropriate recipients
  • Establish a reception area that is tidy and presentable, with all necessary stationary and material (i.e. pens, forms, brochures)
  • Provide basic and accurate information to clients/visitors in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Order essential office supplies and keep inventory
  • Arrange weekly breakfasts and lunches for in-house meetings/conferences
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing
  • Ensure that buildings are kept and maintained by communicating with Property Management Company
  • Order and organize office snacks
  • Other duties as assigned.

Qualifications:

  • Prior work experience as a receptionist, front office representative, or comparable role
  • Proficiency in Microsoft Office (i.e., Word, Excel, Outlook, Power Point)
  • Hands-on experience with office equipment (i.e. fax machines, printers)
  • Professional attitude and appearance
  • Excellent communication and organizational skills
  • Multitasking and time-management proficiency, with the capacity to prioritize assignments
  • Client service/positive troubleshooting demeanor
  • Team player and willingness to help when needed
  • Bilingual in Spanish highly preferred
  • Notary Public helpful

Job Type: Exempt, Part-Time

Hours: 7 am-11 am
