JOB DESCRIPTION SUMMARY: To answer phones, greet customers in a professional, courteous manner and provide administrative support to building representatives. In addition, provide clerical support and other duties as assigned.

Essential Functions:

  • Open front of office
  • Answer multi-line phone system, transfer calls, take messages.
  • Check Voicemail and forward messages.
  • Keep track of all who are in and out of the office on IN/OUT BOARD.
  • Greet customers and vendors as they come into the office.
  • Print invoices received via email, date stamp and route to AP.
  • Check & distribute faxes and emails throughout the day.
  • Pick-up, open and distribute mail.
  • Prepare all outgoing mail (including certified mail & UPS).
  • Take mail to the post office as needed.
  • Verify data from design sheets and brochure requests in construction software.
  • Send Customer Letters and Thank you postcards.
  • Miscellaneous duties as assigned.

REQUIREMENTS:

Education:

Required: High School

Preferred: One year of college or technical school

Licensing/Registration/Certification:

Required: Driver's License and Proof of Auto Insurance

Preferred: N/A

Experience:

Required: S ix months' related experience. Ability to perform each essential duty listed above

Preferred: One year or more experience with multi-line telephone system

Skills, Knowledge and Abilities:

Required: Experience with multi-line telephone system. Some knowledge/experience in a business environment. Basic knowledge of Microsoft Excel and Word.

Preferred: Intermediate or better knowledge with Microsoft Excel and Word. Experience with a computer-based customer tracking system.

SALARY RANGE: $18 to $22 per hour based on experience
