Job Summary: The role involves verifying the identity of legally valid clients, ensuring compliance with regulations, and managing patient flow within a dispensary setting. Key duties include maintaining accurate records, assisting patients and designated patient caregivers (DPCs) with inquiries and documentation, and providing exceptional customer service. This position requires strong organizational skills, attention to detail, and a proactive approach to handling administrative tasks and client interactions.
Key Responsibilities:
- Client Verification and Record Maintenance: Welcome clients, verify identification and registration documents, and enter accurate data into EVS and ICS systems. Ensure compliance with state and local regulations and maintain up-to-date patient files.
- Customer Service and Education: Provide outstanding customer service by answering questions, resolving complaints, and offering brief orientations for new clients. Educate patients and DPCs about registration, renewals, and documentation requirements while supplying educational resources as needed.
- Order and Traffic Management: Collaborate with dispensary agents to facilitate smooth patient traffic flow, ensuring efficiency and client satisfaction. Record and communicate details about preorders and online orders to ensure timely and accurate deliveries.
- Administrative Support: Handle incoming and outgoing mail, manage office supplies, and maintain a clean and organized workspace. Assist with start-of-day and end-of-day procedures, including preparing paperwork and setting up computer programs.
- Regulatory Compliance and Updates: Stay informed about applicable state and local laws and regulations, ensuring all processes align with legal standards. Assist clients in registering for the Company Discount Plan and Home Delivery Plan while following internal and regulatory guidelines.
- Additional Duties: Support managers with research, communications, and other assigned tasks. Participate in facility discussions to suggest improvements in operations and client satisfaction.
